Guides for the Admin and Association portals
This guide explains every section and tool across both portals. Use the sections below to learn how to manage members, submit and export CPD records, and keep your data accurate and compliant.
The central hub for all CPD submissions across every association and country. View analytics, filter records, spot duplicates, and export impact reports.
Manage which professional associations can access the portal. Grant access, generate session keys, resend welcome emails, and toggle active/claimed status.
Browse and manage every applicant profile across the platform. Edit member details, update license numbers, associations, and subscription status.
Review requests from users claiming to represent an association, or asking to register a new one. Approve, reject, and add admin notes.
Maintain the reference data that powers every form: countries, disciplines, professional associations, licensing councils, topics, and topic types.
Automate recurring reports sent to licensing councils or associations on a daily, weekly, or monthly basis.
Import many CPD records at once from a spreadsheet. Upload a file, map columns to fields, and validate before inserting.
A public-facing view of ALMA's CPD activity across Africa, with charts for country distribution, topics, points over time, and specializations.
This guide explains every section, tool, and action available in your portal. Use the tabs at the top to move between sections — each is described below.
Your association's home base. It shows summary statistics (total members, total CPD points, new activity this month, and unexported records), analytics charts by discipline and month, and the full member records table.
View and update your association's public profile — contact email, phone, website, address, and description. These details are shown to members and used in communications.
Pre-register professionals linked to your association. Adding a member creates their profile and sends them a welcome email so they can start submitting CPD records immediately using their license number.
Submit a CPD record on behalf of a member. This replicates the public submission flow with the same validation: pick a member, choose a topic (which sets the CPD points), enter the completion date and a certificate URL, and the system prevents duplicates.
Clean up duplicate entries. The tool scans your association's records and groups duplicates — same person, same topic, and same completion date — then lets you choose which record to keep and removes the rest.
Manage which members have an active (paid) subscription so their CPD records can be exported to the licensing council. Only paid members' records are exportable; unpaid members' records are grayed out and excluded from export.
Use the Export Records button to choose what to include, then download a CSV of member CPD points or the full records list for offline use, reporting to a licensing council, or your own archives.
Select multiple records with checkboxes and mark them as exported. This records who the data was sent to and when, so you don't re-export the same records.
If a member's certificate looks incorrect or incomplete, flag the record to notify them by email that their submission needs attention. The member can then resubmit with the correct details.
Click a certificate thumbnail or link to open the member's uploaded certificate in a new tab and verify the CPD activity.
Every list supports search and filters. Combine the search box with filters (country, export status, etc.) to quickly find specific members or records.
Large lists are split into pages of 25 records. Use the pagination bar at the bottom of a table to move between pages and see how many records match your filters.
Click the Paid or Unpaid badge on a record row to switch a member's subscription status. Unpaid members' records are grayed out and cannot be exported to the licensing council.
Send a quick email to an unpaid member explaining that their CPD record was received but cannot be exported to the licensing council until their subscription is active.
Before downloading, choose what to include — subscription status (Paid/Unpaid/All), year, month, and export status — then download a Full CSV or a Points Summary. By default only paid members' records are included.
If something isn't working as expected or you need access to additional features, contact the ALMA CPD Portal administrator. Always double-check a member's license number and certificate before saving or exporting a record — accurate data keeps members compliant with their licensing requirements.
